KIDWISE AFTER SCHOOL AND SUMMER CAMP (‘KIDWISE’) TERMS & CONDITIONS
Annual Registration Fee and Booking Access
- An annual registration fee of £35 per child is mandatory and non-refundable.
- This fee enables parents/guardians to gain access to book Kidwise services year-round for a period of 12 months from the date of payment.
- Bookings cannot be made without payment of the registration fee.
Bookings
- All bookings must be made through https://kidwise.magicbooking.co.uk
- All bookings are subject to availability.
- The person making the booking accepts the booking conditions on behalf of the account holder.
- All bookings must be paid for at time of booking unless card instalment plan is selected at time of booking or you are paying by Childcare Vouchers/Tax Free Childcare.
Cancellation Notice and Charges
- It is the account holder’s responsibility to cancel sessions.
- Any booked sessions which are not attended are still charged unless the required notice is given (see below).
Holiday Camps:
- Parents must give a minimum of 2 days’ notice to cancel a holiday camp session.
- If more than 2 days’ notice is given, a credit note will be issued to the parent’s Magicbooking account for use in future bookings.
- If less than 2 days’ notice is given, no credit or refund will be issued and the payment will be forfeited.
- We will endeavour to reschedule bookings, subject to availability. Please speak to a member of the Kidwise team to discuss options.
- Any booked sessions which are not attended are still charged.
- All bookings must be made prior to arriving onsite. If you arrive at a site and have not booked, your child will not be accepted until a booking is made, subject to availability.
After School Programme:
- Parents must give a minimum of 1 day’s notice to cancel an After School Programme session.
- If more than 1 day’s notice is given, a credit note will be issued to the parent’s Magicbooking account.
- If less than 1 day’s notice is given, the payment will be forfeited, and no credit or refund will be issued.
- You must inform the Kidwise office by email if your child is absent from school and/or does not require school pick-up. Failure to do so incurs a £15 admin charge.
- We will endeavour to reschedule bookings, subject to availability. Please speak to a member of the Kidwise team to discuss options.
- It is the parents/guardians’ responsibility to inform the school if their child is attending Kidwise after school programme and to notify of late cancellations.
Parents Night Outs:
- Parents must give a minimum of 1 day’s notice to cancel an Parents Night Out booking.
- If more than 1 day’s notice is given, a credit note will be issued to the parent’s Magicbooking account.
- If less than 1 day’s notice is given, the payment will be forfeited, and no credit or refund will be issued.
- All bookings must be made prior to arriving onsite. If you arrive at a site and have not booked, your child will not be accepted until a booking is made, subject to availability.
Special Offers and Discount codes
- Discount vouchers or offers can only be used for the purpose stated.
- Only one offer or discount code can be used per booking.
- Each voucher code can only be used once per customer.
- Each voucher code can only be used on one booking and will not be valid if you would like to book further days on a separate booking before the voucher deadline ends.
- Offers and discounts may be withdrawn at any time.
Payments and Overdue Balances
- Types of payment available are Credit/Debit card, Childcare Voucher or Tax-Free Childcare.
- When paying by Childcare Vouchers or Tax-Free Childcare, please use your child’s full name or booking reference as the payment reference.
- Having an overdue balance may lead to the termination of your child’s place within the club.
- Kidwise After School and Summer Camp will pass any unrecovered fees to an external debt collection agency. Any fees associated with the debt collection will be passed on to the debtor.
- A penalty fee of £5 per day will be added for each day a payment remains overdue, starting from the due date, until the balance is fully cleared.
Late Collection Fees
- A charge of £1 per minute after an initial 10-minute grace period will be applied to all collections made after the advertised session end time.
Safeguarding and Welfare
- If your child does not arrive at a booked After School Programme session and we have not been advised of their non-attendance by you the parent/guardian, we will begin our Missing Child Procedure.
- We are committed to safeguarding all the children in our care from harm and abuse.
- Kidwise After School and Summer Camp is obligated to report any suspected child abuse or neglect to the relevant authorities.
- Parents/guardians must inform the Kidwise office of any conditions that may affect their child (medical, learning, behavioural, etc). If full information is not provided, this may result in Kidwise excluding them from certain activities or if it felt necessary, excluding them from using any of the Kidwise services. In such circumstances no refund or credit will be paid.
Health Concerns
- Parents must share any information regarding known allergies or other physical conditions, mental health disorders, or development disabilities, or delays which would limit the child’s participation in our programmes with the Kidwise office. The office should be consulted concerning any special procedures that need to be followed in caring for the child.
Sickness
- If your child is sick, they are recommended to rest at home and return to Kidwise 24 hours after their last symptoms have passed.
- Parents/guardians must pick up sick children within 1 hour of receiving the first contact from the Kidwise office.
Medication
If your child requires medication of any sort, including an inhaler, the following must be in place before your child can attend:
- Completed the Medication Administration Form, please contact Kidwise office who will email this to you
- Our own supply of medication at the club – we have no access to any medication stored in school
- Only prescription medication (or over the counter medication with a written order from the GP/doctor) will be given
- All medication must be in the original container labelled by the pharmacy
- Medication must be turned in at the welcome desk and not left in the cubby or classroom
- Medication time will be at 12pm daily on camp days, unless otherwise prescribed
Please note: If the above is not in place, your child will not be able to attend the session
Arrival and Departure
- Children will not be allowed to enter or exit the campus without an adult escort. A Kidwise coach will escort your child to their assigned classroom.
- For holiday camps, parents must always sign their child in and out at the welcome desk. Parents are not allowed to have children sign themselves into or out of the programme.
- Parents must not send camper in alone or with older sibling unless the older sibling is over the age of 18.
- Children can only be collected by an adult over the age of 18 who has been authorised to collect them which is done by the parent adding collectors on their account as a collector.
- Approved collectors must carry proper government-issued ID and may be asked to present it before children are released.
Babysitting
Any babysitting/care arrangement between parents and Kidwise staff is entirely separate from any agreement with Kidwise After School and Summer Camp. Kidwise does not take responsibility for such private arrangements, although any behaviour that has a negative effect on the business may be considered misconduct and will be dealt with in accordance with the Disciplinary Procedure.
Exclusion
- Kidwise After School and Summer Camp reserves the right to exclude or refuse any person without notice, if we consider that their presence compromises the good atmosphere of the club. Transport home will be the responsibility of the parent and no refund/credit will be available.
Forced Closures
- If Kidwise After School and Summer Camp is forced to close due to an external factor such as bad weather, infectious or contagious disease outbreak, Power cut, Teacher Strikes or other industrial action, by order of Local Authority or Environmental Health, customers will still be liable for fees incurred during the entire period of closure.
Schedule Changes
- Kidwise After School and Summer Camp may need to amend activity programmes, schedules, services, dates, times and/or venues on occasions that may be out of our control. This will be without refund or compensation to the customer.
Photography
- Kidwise After School and Summer Camp occasionally take photographs and videos at our venues which can be used for marketing and promotional purposes, including on social media. If you would rather your child was not included in any photographs, please get in contact with our office and ensure your child’s details are up to date.
Communication
- Our normal office hour is Monday to Friday from 10am to 6pm. On Camp Days, our office is open Monday to Friday from 8am to 6pm. Parents can get in contact with our office by email on [email protected], or by telephone at 0208 158 3986.
Concerns or Compliments
- Concerns, compliments or suggestions should be directed to our office. We always welcome your input. We need to know of your concerns in order to make improvements to our programme. Please refrain from making comments on social media that may be taken out of context and reflect an inaccurate representation of our programmes.
Liability
- Kidwise After School and Summer Camp does not accept liability for personal injury or death of any participants unless directly caused by the proven negligence of the company or its servants.
- Kidwise After School and Summer Camp takes no responsibility for any items that are lost/stolen or damaged at the club.
Lost Property:
- On request, Kidwise After School and Summer Camp will endeavour to return items that can be identified. Postage costs of lost property are the responsibility of the parent. Unclaimed After School Club lost property will be distributed to local charities at the end of each half term. Holiday Club lost property will be distributed to local charities two weeks after the school holiday.
Parent Abuse of staff:
- The threat or use of physical violence, verbal abuse, intimidation or harassment towards our staff is likely to result in a termination of all direct contact. Such incidents may be reported to the police and this will always be the case if physical violence is used or threatened.
Data Protection:
- Kidwise After School and Summer Camp collects personal details for you and your child to register and enable us to process your booking. It is your responsibility to ensure that you have the necessary permission to pass on the personal details of everyone required. Kidwise After School and Summer Camp may hold some of your details for future marketing purposes. Please let us know if you do not want to receive future communication from Kidwise.

- Parents must agree to the terms and conditions of our booking system to book with us.
Website Opt-In and Digital Marketing
Kidwise is an activity centre. When opting in to our website, if you agree, you will receive SMS messages to explain our programme, provide opportunities to register for our programme, and to directly answer any questions you may have regarding our services. You may also occasionally receive marketing messages with special offers.
You can cancel the SMS service at any time. Simply text “STOP” to the shortcode. Upon sending “STOP,” we will confirm your unsubscribe status via SMS. Following this confirmation, you will no longer receive SMS messages from us. To rejoin, sign up as you did initially, and we will resume sending SMS messages to you.

Carriers are not liable for delayed or undelivered messages.
